CONSIDER APPROVAL TO AMEND THE BLANKET PURCHASE ORDERS FOR WORTHINGTON FORD, LONG BEACH, CA, FOR DEALERSHIP PARTS, REPAIRS, AND SERVICE ON CITY-OWNED FORD VEHICLES

I. SUMMARY

City Council approval is requested to authorize the Purchasing Department to appropriate an additional $20,000 to the existing $23,066.35 blanket purchase order agreement for Worthington Ford. The Fleet group has been down to as few as one mechanic for the last 10 months and has been behind on repairs as well as parts. The additional funds will enable Fleet Maintenance to continue utilization of Worthington Ford for parts, maintenance, and repair services of city vehicles.

II. RECOMMENDATION

AUTHORIZE the Purchasing Manager to amend PO #22200339 for Worthington Ford not to exceed $43,066.35.

IV. BACKGROUND

Since November 2021, the Fleet group has not been able to keep up with all the repairs and services needs of the Ford vehicles in the fleet. Current hiring activities have resulted in the expected filling of two positions in the next few weeks. These mechanics will enable Fleet to catch up on all the repairs and keep up with routine maintenance activities. However, until that time, it is expected that there is still a need to catch up on current vehicles that need parts and repairs.
The City has a current blanket purchase order with Worthington Ford totaling $23,066.35. Worthington Ford is the primary vendor for vehicle maintenance and repair needs and the additional amendment of $20,000.00 is needed to continue vehicle repairs and maintenance through FY 2021/2022. This action is required to go to the City Council because the total would now exceed $25,000.00.
