Title
CONSIDER APPROVING AMENDMENT NO. 1 FOR PUBLIC WORKS CONSTRUCTION CONTRACT WITH VARKEL ELECTRIC COMPANY, INC. FOR DATA AND ELECTRICAL WIRING INSTALLATION AT CITY HALL (CITY COUNCIL)
Body
I. SUMMARY
The City Council approved the purchase of updated office furniture for selected areas of City Hall on October 4, 2022 (2022-502). The old electrical lines attached to the cubicles in those areas need to be removed and new lines installed.
Now, the Parties seek to amend the Agreement to incorporate Change Order 1 to add additional data drops and electrical outlets that could not be known during the final construction for an additional cost of $39,935, bringing the adjusted contract sum to $98,344.
II. RECOMMENDATION
Recommendation
TAKE the following actions:
1. AWARD and APPROVE the proposed Public Works Amendment 1 with Varkel Electric Company, Inc., to install data and electrical lines at City Hall for an amount not to exceed $98,344; and
2. AUTHORIZE Mayor to execute the contract following approval as to form by the City Attorney.
Body
III. ALTERNATIVES
TAKE another action deemed appropriate by the City Council as allowed by law.
IV. BACKGROUND
The City Council approved the purchase of updated office furniture for selected areas of the first floor of City Hall on October 4, 2022 (2022-502). Examples include new office desks, shelves, chairs, tables, and cubicles in the offices and wings. The carpet was also replaced in those areas and an RFP was released with contract awarded for this work. The electrical lines installed in those selected wings will need to be removed and reinstalled with new lines when the new cubicles are setup. To ensure the proper voltage is used, some of the panels will need to be updated. New electrical lines will also be installed in areas where new equipment is being placed.
After construction, there were some areas that did not fit or line up with the previously placed business equipment (Printers, Refrigerators, scanners, etc.) due to various construction fit challenges and unforeseen items in walls that could not accommodate electrical wiring. The equipment and their corresponding electrical/data ports were then adjusted or moved at additional cost.
V. FISCAL IMPACT
Funds for the cost of this project are included in the Public Works budget for FY 2023/2024 in account number 101-80-840-102-6004.
